Voice Mail Set-Up
From Your Own Campus Extension
From your own campus extension,
call into the voice mail systems by dialing extension 8100 for
Madison or extension 7600 for Teaneck. Listen to the welcome and
enter your temporary passcode. (This is the same number as your
extension).
After the tutorial, listen to the prompts and
complete as instructed.
From Off Campus
When off the campus, call into
the system by dialing 973-443-8100 for Madison or 201-692-7600
for Teaneck. When you are instructed to enter your mailbox number,
put in the four digits of your extension number followed by the
star (*) key. Listen to the welcome and enter your temporary pass
code. This is the same number as your extension number.
After the tutorial starts, listen to the prompts
and complete as instructed.
Accessing Voicemail
On Campus:
From your phone you will hear a
stutter or broken dial tone if you have new messages. To retrieve
your messages from your own extension, call into the system by
dialing extension 8100 for Florham Madison campus or extension
7600 for Teaneck Hackensack campus. At your greeting enter your
permanent pass code. Follow the prompts to use the system.
Off Campus:
From an outside phone, dial into
the voice mail system at 973-443-8100 for Florham Madison campus
or 201-692-7600 for Teaneck Hackensack campus. When instructed
to enter your mailbox number, put in the four digits of your extension
number followed by the star (*) key. Listen to the welcome and
enter your permanent pass code. Follow the prompts to use the
system.
From Another Extension That Has Voicemail:
Dial the voice mail extension 8100
or 7600. If you are prompted for a mailbox number, enter your
own extension followed by the star (*) key. If you reach the extension
owner's mailbox (you will be asked for their pass code) press
the star (*) to exit to the main menu. Then enter your own mailbox
number (four digit extension) followed by the star (*) key and
your pass code.
The system will ask you to put in your permanent
pass code. Please note that the Telephone & Voice Services
Department does not have a record of your permanent pass code.
Use a number that will be easy for you to remember. Some departments
use the same pass code for each extension; this way if you are
out for a long period of time voicemail can be picked up and answered
by other staff members in your department. Whatever you choose,
please don't forget the password, if you do you must fill out
a trouble form and submit it to Telephone & Voice Services.
Changing Voicemail Messages & Passcodes
When you first set up your mailbox,
you recorded a greeting and your name and selected a passcode.
The User Options Menu allows you to change these at any time.
You should update your greeting(s) regularly to let callers know
whether you're in or out of the office. Your voicemail message
should always be appropriate so callers will feel confident in
leaving messages. And, of course, boxes should be emptied daily,
if not more frequently.
For example: Hello, you have reached the _______________Department.
We are either on the phone or away from our desks. If you leave
a detailed message and your phone number someone will get back
to you.
When the University or your department closes
you should always redo your message making the caller aware that
the University or your department is closed.

The voicemail system has a tutorial that is
simple to understand and work through. When you are in doubt about
what to do next, hold on and the system will give you your options.
Sending Messages Marked Urgent
Call the voicemail system at 7600 for
Teaneck and 8100 for Madison.
- Enter your passcode.
- Press the number 6 to make a message.
- Enter the recipient's four digit number.
Once the system confirms the recipient's
name, enter the numbers of any other intended recipients. (For
example, you may wish to send a single message to all three members
of a certain committee telling them when and where the next committee
meeting will be held).
When you have finished addressing your
message, press the # key.
Begin recording your message after
the tone. (You may press the star (*) to pause/resume during recording.)
When you are finished recording:
- Press the number 9 to send the message
and exit to the main menu or
- Press the number 9 and the star (*) key
to add more recipients to the address list, or
- Press the number 6 to access message addressing
options, such as urgent delivery, future delivery, confidential
delivery and return receipt.
Once you have selected from these options,
press the number 9 twice to send your message and exit to the
main menu.
Playing Messages and Fax Messages
When you access your mailbox to retrieve your messages:
The system will first tell you how many messages
you have ("You have 2 urgent messages and 4 unplayed messages
with fax"). To play your voice and fax messages:
Press the number 7 to play. Your urgent messages
will automatically be played first.
If you have any fax messages, after pressing
the number 7 to play the message, the system will ask you to press
the number 8 for fax transmittal options. From this menu you can:
Press the number 4 to input a number where
you want the fax printed (must be a four digit extension).
The system will then confirm the number; press
the number 2 to accept it or press the number 4 to input a new
number.
After pressing the number 2 to accept the number,
press the number 9 to deliver the fax immediately to that number.
If you have additional fax messages, you can
send them to the same fax number you input for the first number
simply by pressing the number 4 and then the # key.
After the fax is sent, the system will put
a copy in your saved messages. You can delete it later or continue
to save it for 30 days.
When you have finished listening to a voice
or fax message, you can press the number 7 to play the message
again.
Press the number 4 to give the message to another
mailbox.
The system will also give you the opportunity
to record additional comments before sending the message to someone
else. Once you have added your comments, press the number 9 to
send your message.
To keep the message, press the number 5 key.
To discard the message, press the number 3
key.
Helpful Notes: At any time during message playback
you can press:
- The Number 1 key to pause for 30 seconds
- The Star (*) key to move back 5 seconds
- The Pound (#) sign to move forward 5 seconds
- The Number 8 key to skip to your next message,
and
- The Number 8 plus, the star (*) key to go
back to the beginning of your previous message.
- To Skip over a greeting, press "1"
or the "#" key.
Voicemail Shortcuts and Tips
- To skip a person's initial greeting, press
#.
- To pause the system while playing messages,
press 1.
- To retrieve a deleted message, immediately
after deleting it, wait for the prompt and press *. Message
will undelete. Once you exit the system, messages cannot be
undeleted or retrieved.
- To give or forward a message to another
mailbox on the system, press G after the message and follow
prompts to put in the number where the message will be forwarded.
- To give message to another mailbox
on the other campus, preface the mailbox number with:
- (Teaneck to Madison)
- (Madison to Teaneck)
When changing greeting to your callers,
whether Primary or Conditional, be sure to "enable"
that greeting in order for the correct message to be played.
- To revert a call back to someone's mailbox
after you've answered the call, press the switchhook or link
button, dial 7600 (T) or 8100 (M), press *, the mailbox number,
then #. When you hear the greeting, hang up.
- To make it simple for others to check
your messages, when appropriate, it is a good idea to have a
"department passcode" rather than an individual one.
